TourVault (“TourVault,” “we,” “us”) is a golf performance platform that helps players, coaches, caddies, and college programs capture rounds, analyze performance, and prepare for competition. This policy explains what we collect, how we use it, and the choices you have. By using TourVault you agree to the practices described below.

Information we collect

• Account information. Your name, email address, password credentials, role (player, coach, caddie, or staff), and team membership.
• Round and performance data. Rounds you log by voice or text, transcripts, scores, shot-level data, moment cards, notes, and strokes-gained results derived from them.
• Uploads. Files you add to your vault, including scorecard photos, swing videos, course notes, green sheets, and launch-monitor or shot-tracker exports (e.g., TrackMan, Arccos, Shot Scope, Garmin).
• GHIN handicap data. If you connect GHIN, your handicap index and posted scores so we can reflect your official handicap in your vault and recommendations.
• Usage and device data. Log data such as feature usage, timestamps, error codes, and basic device and browser information used to operate and secure the service.

How we use your information

• To provide, maintain, and improve TourVault and its features.
• To structure your captures into rounds, moment cards, insights, and reports.
• To power team workflows such as coach review, comments, approvals, and drill assignment.
• To generate practice plans, tournament packs, and grounded AI assistant responses for you.
• To communicate with you about your account, support requests, and service updates.
• To protect the security and integrity of the platform and prevent abuse.

AI processing

TourVault uses AI to transcribe voice notes, extract data from scorecards and documents, structure your rounds, and answer questions grounded in your own vault. AI responses are generated from the data you have logged and cite the rounds, moment cards, and notes they draw from. We may send the minimum necessary content to trusted AI provider(s) to perform these tasks; we do not sell your content, and we do not use your private vault content to train third-party foundation models.

Data sharing and team scoping

Your data is scoped to your team. Coaches, caddies, and staff only see what their role and your sharing choices permit. We share data with service providers (such as cloud hosting, storage, and AI processing) strictly to operate TourVault, and only as needed. We do not sell your personal information.

Security

We use industry-standard safeguards including encryption in transit, access controls, signed URLs for file access generated only after permission checks, and role-based access control. No system is perfectly secure, but we work to protect your data and limit access to those who need it.

Your choices

You can access, update, export, or delete your account data, and disconnect integrations such as GHIN at any time. To make a privacy request or ask a question, contact us using the details below.

Changes to this policy

We may update this policy from time to time. When we make material changes, we will update the “last updated” date above and, where appropriate, notify you.
